How to Track a Lead From Ad Click to Revenue

The full chain from click to closed revenue, where it usually breaks, and how to build reporting you can act on.

Most advertising reporting stops at the lead. The question that decides budgets is what happened afterwards, and answering it means connecting the ad click to the form, the form to the CRM record, and the CRM record to the outcome. This is how that chain is built and where it typically fails.

The chain in full

Ad click, landing page or form, lead capture, CRM record, qualification, opportunity, closed outcome. Each step has to carry the source information forward or the link is lost.

In practice the identifier travels in the click parameters, is captured with the form submission, and is stored on the CRM record so it can still be read months later when the deal closes.

Step one: capture the source with the lead

Store campaign, ad set and creative identifiers as fields on the lead record rather than relying on a platform report later. Leads arriving from instant forms need the same treatment through the integration that delivers them.

Use consistent campaign naming. Most reporting problems are not technical, they are a dozen naming conventions used across two years.

Step two: define qualification

Agree with the sales team what makes a lead qualified, and record that status on every lead. Without it you cannot distinguish a channel producing volume from a channel producing customers.

This is usually a process change, not a software one. Someone has to update the record consistently for the reporting to mean anything.

Step three: close the loop back to the platform

Send qualified and closed outcomes back to the advertising platforms as conversion events where you can. That lets optimisation chase the leads that became customers rather than the leads that were easiest to collect.

Even a manual monthly upload is a large improvement on optimising for raw form fills.

Step four: report on what matters

The view worth having by campaign and creative is leads, qualified leads, opportunities, closed revenue and cost per qualified lead. Impressions and clicks are diagnostics, not results.

Allow for sales cycle length. Judging a campaign on closed revenue before the typical cycle has completed will always understate it.

Where it usually breaks

Source fields not captured on the form, leads entered manually without a source, duplicate records, and reports that count every enquiry as equal regardless of quality.
